Requirement
  • College or Bachelor's degree in Business Administration, Office Administration, Engineering, or related fields.
  • At least 2 years of experience in an administrative or coordination role.
  • Experience in property management, building operations, engineering, or construction is an advantage.
  • Good administrative and document control skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Good communication and coordination skills.
  • Organized, detail-oriented, and responsible.
  • Experience working with contractors, maintenance teams, or fit-out projects.
  • Basic understanding of MEP systems and building operations.
  • English communication skills.
Job description

1. Document, Contract & Contractor Management - Quản lý hồ sơ, hợp đồng và nhà thầu

  • Prepare, monitor, and follow up contracts, contract termination procedures, and related documentation for maintenance contractors, repair vendors, fit-out contractors, and warehouse operations.
  • Maintain and organize technical drawings, system diagrams, equipment manuals, acceptance records, and warranty documents for MEP systems.
  • Update and maintain construction permits, safety compliance records, and related documentation for fit-out projects, operation, maintenance, and repair works.

2.2. Maintenance & Operation (O&M) Support - Hỗ trợ vận hành và bảo trì (O&M)

  • Monitor preventive maintenance schedules (daily, weekly, monthly, and quarterly) for MEP systems, including electrical, plumbing, HVAC, and fire protection systems.
  • Consolidate incident reports from buildings/projects, categorize issues, and coordinate with the appropriate engineers or contractors for resolution.
  • Manage technical inventory and monitor stock movement of MEP spare parts and materials to ensure sufficient emergency supplies are available.

2.3. Fit-out Project Support

  • Track overall fit-out project schedules, identify delays or issues, and report them promptly to Management.
  • Prepare construction registration documents, access permits, and contractor administration records.
  • Record meeting minutes, monitor outstanding items (punch lists), and follow up with relevant parties to ensure timely completion.

2.4. General Administration

  • Receive, review, and process documents, invoices, and payment records from technical teams, contractors, and other departments.
  • Monitor monthly operation and maintenance budgets of the MEP Department.
  • Manage attendance records, leave tracking, and internal administrative matters of the team.
